Info If you are an R-Ladies organizer and have further tips, please submit them! If you are an R-Ladies organizer and have further questions, please ask them in an issue.
Planning events Organise the year (or, say, semester) in advance. Even if you change your plan in the middle is always good to know what to expect.
Find speakers at least two months before the talk. Even if it is a 5 minutes talk, it will give you peace of mind and time for people to prepare their talk.

How to recruit speakers Regularly tell meetup attendees that you are looking for speakers.
Suggest topics to members of your chapter; e.g. if you notice someone got started with ggplot2 or wrote their own package, suggest they talk about that.
Lightning talks events can be a way to invite new speakers since they can prepare a short talk. Example Call for Proposals by R-Ladies NYC.
For short talks, you could use R-Ladies Cotonou’s approach of asking speakers to briefly present “what they like the most about R or would like to know.”.

Info What if it is not realistic to expect participants to have good internet at home?
Here are some options. We are open to adding more based on your experience!
WhatsApp meetup (R-Ladies Cotonou is still testing this), emailing the presentation and setting a time for Q&A in the WhatsApp groupp.
Another expensive option under consideration by R-Ladies Cotonou is to offer a data bundle to participants using the R Consortium grant, when we receive funds, to have a Zoom meetup.

How to promote events and speakers?
Tip To ensure attendees are not all from the majority gender, consider first advertising your event to R-Ladies directly or in private communication channels such as your chapter slack if there’s one. Please do be aware of the relevant Equality Legislation in your jurisdiction, e.g the Equality Act 2010 in the UK, when designing participation frameworks for the majority gender, to ensure your procedures are not infringing local laws re. potential discrimination.

R-Ladies Global has a YouTube channel where we post videos from different chapters around the world. Some chapters run their own channels, which are subscribed by the global channel, so it’s easy to find more related content.
Zoom and Youtube See the dedicated section.
Contributing through chapter channels Since some chapters have their own channels, these videos do not show up in the R-Ladies Global channel, even if we highlight chapter channels on the page. We would, however, love to link to videos in other channels so people can easily find more content.
