Chapter organizer, why, and what efforts? We are so glad you’re considering becoming a chapter organizer. By doing so, you are helping R-Ladies mission to increase gender diversity in the R community globally, and you are connecting with your local community. You’ll also be interacting with R-Ladies volunteers all around the world.
Becoming an organizer might feel overwhelming at first whilst you are getting to know the organization and the tool we use (Slack, Meetup). Please feel free to ask us any question! It’ll also help us improve our guidance.

Co-organizers

The more the merrier! Recruiting co-organizers can also
help you share the load let each organizer pick tasks they prefer (as opposed to one person having to do it all) Where and how to recruit co-organizers? If you’re lucky, a member of the chapter will volunteer on their own. 😁 Sometimes, though, folks need more encouragement.
If you have someone in mind, talk to them directly. Think of what being an organizer represents to you so that you can tell them that. 😉

We do not want you to spend your personal money on your local chapter!
Local sponsors If you find a local sponsors, at the moment since there is no formal structure for receiving funds, it is best if the sponsor pays directly for a need of your chapter, like food at the next event or accomodation for a guest speaker. The sponsor might also want to e.g. put a room at your disposal for free.

Your chapter will get support from speakers, sponsors, etc. Do not hesitate to keep a more or less informal list of people to thank. E.g. R-Ladies Philadelphia keeps “a Google spreadsheet listing name, support type, email address, postal address, who’s responsible for sending it, and status of the thank you card (sent/not sent)”. Of course such data must comply with personal data protection rules.
Thank you cards could be sent once a year like R-Ladies Philadelphia does (“we try not to splurge, but try to add a sticker or other small token of appreciation as well when possible”), by snail mail, or more regularly by email. Remind recipients on why you are thanking them, especially if it has been a while since they helped or collaborated with you.

Partnerships

As stated in our mission, R-Ladies seeks to remain independent and non commercial.
No official/formal connection with the R-Ladies organization in general can be advertised without agreement of the global team/leadership (send an email to leadership@rladies.org). Refer to our guidance for allies.
Before that, how do you as an organizer or organizers team decide that a partnership is worth pursuing? It is important to assess whether the organization is looking for “diversity points” - getting good publicity for being connected to organizations like R-Ladies, but not invested in true collaboration or partnership. You might ask others for their input, especially others who have collaborated with the same organization and who do not have conflicts of interest (so, not a staff member of that organization!). You can also look or ask whether the organization includes and has been supporting groups that have been systematically excluded from the tech scene.

Get support for your chapter Things to try if you are struggling or can no longer serve as your chapter’s organiser: 💪
If you struggle to organise events, please let us know and we will put you in contact with an experienced organiser that can mentor you. Please message the members of your chapter on meetup and ask if anyone is willing to help you co-organise the chapter or take over the chapter. If someone comes forward, send an email chapters@rladies.org to inform them of this change and share the new contact’s information. Next, please check that the information concerning your chapter in our website repository accurately reflects this change. If not, please make the necessary adjustments and submit a GitHub pull request to R-Ladies with the updated information. If you do not feel comfortable making a pull request, please mention this in your initial email to chapters@rladies.org. We will help you update the contact information for the chapter. The new contact will also receive access to the organiser Slack channel. If no one comes forward, please make an announcement in the community slack to see if anyone is willing to take over. Our monitoring of chapters Once a chapter is created, we would love to see it grow and be active. We support chapters by providing the digital infrastructure: a custom rladies.org email address, logo and templates for setting up social media channels (i.e. Twitter) and a subscription on meetup.com.
